How to Add or Open Shared Mailboxes in Outlook on the Web

Follow the steps below to add or open a shared mailbox in the Office 365 Outlook online application.

How to Add a Shared Mailbox to Your List of Folders

  1. First, log in to your Office 365 mailbox. 
  2. Right-click on the Folders heading.
  3. Select Add shared folder.

  4. Type the name of the mailbox into the pop-up window and select the correct mailbox from the directory list.

  5. Click Add. The mailbox will be added beneath the Folders section of your mailbox.

    Locate the new shared folder under the Folders heading in your mailbox
     
  6. To compose or reply from the shared mailbox instead of your personal mailbox, select the From button when composing an email and select Other email address...

  7. Type the name of the mailbox you want to send from and select it from the directory list.

How to Open a Shared Mailbox in a New Window

  1. First, log in to your Office 365 mailbox. 
  2. Click on your photo (or the ghost avatar if you haven't added a photo) in the top right corner of the page.
  3. Select Open another mailbox...
    Click on the picture in the top right of your screen and choose open another mailbox.
     
  4. A dialogue box will open and you can search the directory for the mailbox you want to add.
  5. Once you've chosen the mailbox, select Open and the mailbox will open in a new browser tab or window.
Please Note: This process does not add the mailbox to your list of folders in the Outlook app. You will need to follow this process each time you want to open the mailbox or follow the instructions for adding a shared mailbox to your list of folders at the top of this page.
