Final Checklist for Watermark Course Evaluations & Surveys

This guide will show you what steps need to be taken to ensure Watermark Course Evaluations & Surveys (formerly EvaluationKIT) projects are set up completely. 

Step-by-Step Guide

Under the Properties Tab:

  1. Check to ensure the Start Date is accurate.
  2. Check to ensure the End Date is accurate.

These dates can be viewed or changed under Project Settings.

The Start Date for each first block, full semester, or second block course survey will be the first business day after the last-drop deadline of that block or term. The End Date is when that block or term ends. 

 

Under the Courses Tab:

  1. Check to ensure the number of courses is accurate.
  2. Check to ensure the number of instructors is accurate.

Search Courses Box

The image above shows what is located at the top of the screen after navigating to the Courses tab.

Course List

The image above shows the list of courses that is located below the Search Courses box. In this list, you will see each course and a column with the number of instructors for each course listed. Be sure that all courses are accounted for. If there are multiple instructors in any courses, there may be an error.

 

Under the Users Tab:

  • Check to ensure refresh has been set up.

Data Import

Select Data Import. A drop-down box will appear. Choose Blackboard.

Add Refresh Schedule

From here, it will allow you to make changes to the Refresh Schedule.

The image above shows what is located at the bottom of the screen. If it says No Enrollment Refresh Scheduled, it will need to be resolved.

 

Under the Survey Tab:

  • Check to ensure the correct survey is chosen.

Under Main Survey, you will find the title of the Selected Survey. If this is not the correct one, select Change Selected Survey.

 

Under the Communication Tab:

  • Check to ensure all dates for email communications are accurate.

Under the Status column in each email type, check the dates of each communication for accuracy. The Survey Invitation and Announcement Email should be scheduled for 9 AM on the start date of the project. The Non-Respondent Email should be scheduled for 9 AM on the end date of the project. The Results Notification Email should be scheduled for 9 AM on the date that final grades are available to students. 

 

Under the Report Setup Tab:

  • Check to ensure reporting access dates are accurate.

Under Reporting Access, check each Access Start date to ensure that they fall on the date when final grades are available to students at the end of the semester. 

 

Under the Deploy Project Tab:

  • Check to ensure the project survey enrollment number is accurate.

Deploy Project details

Check the Project Survey Enrollments number under Deploy Project.
