Setting Up Communications in Watermark Course Evaluations & Surveys

Watermark Course Evaluations & Surveys (formerly EvaluationKIT) allows you to configure several types of communications that will go out by email to different groups. Typically we utilize the Survey Invitation and Announcement to alert all user levels that evaluations are available, and then configure the Non-Respondent communication options based on the type and length of project to go out to students and faculty. Finally, Results Notifications go out to Faculty and Administrators to let them know that results are available through my.missouristate.edu. We provide suggestions here, but these can be customized for your project as you need.

How to Set Up Communications in Watermark Course Evaluations & Surveys

Please Note: The Start Date for each first block, full semester, or second block course survey will be the first business day after the last-drop deadline of that block or term. The End Date is when that block or term ends. These dates are also available in the Teams site for Watermark Course Evaluations & Surveys administrators.
Navigate to the project you need to set up communications for.
Under Communication tab:

Survey Invitation and Announcement Email
  1. Click the Edit icon under Survey Invitation and Announcement Email next to Student/Respondent.

  2. Change the title and subject to match the term of current survey.
  3. Change the One Specific Date & Time for All Emails to the start date of the project at 9 AM.

  4. Review the email. It should include the following Watermark Course Evaluations & Surveys Placeholders:
    1. [UserFirstName]
    2. [ProjectName]
    3. [SurveyEndDate]
    4. [EvalKitLogin]
       
      Please Note: Each placeholder should appear as a blue hyperlink. To add a placeholder, click the EvaluationKIT Placeholders drop-down option in the email functions bar.

  5. Click Save.
  6. Select the Communication tab to return.

  7. Repeat for the Instructor and Administrator emails. All should be scheduled for 9 AM on the start date of the project.
     
Non-Respondent Email: Course Evaluations End Tonight
  1. Click the Edit icon under Non-Respondent Email next to Course Evaluations End Tonight.

  2. Change the title and subject to match the term of current survey.
  3. Change the One Specific Date & Time for All Emails to the end date of the project at 9 AM.

  4. Review the email for Watermark Course Evaluations & Surveys Placeholders.
  5. Click Save.
  6. Select the Communication tab to return.

Non-Respondent Email: Reminder – Please Complete (Recurring)
  1. Click the Edit icon under Non-Respondent Email next to Reminder – Please Complete.

  2. Change the title and subject to match the term of current survey.
  3. Change the Send email every dates to every 1 day(s) on the day after the start date and the day before the end date.

    Please Note: You may choose to send fewer emails if you would prefer for your individual project, it is not required that students be emailed every day.
  4. Review the email for Watermark Course Evaluations & Surveys Placeholders.
  5. Click Save.
  6. Select the Communication tab to return.

Results Notification Email
  1. Click the Edit icon under Non-Respondent Email next to Instructor.

  2. Change the title and subject to match the term of current survey.
  3. Change the One Specific Date & Time for All Emails to the date that final grades are available to students at 9 AM.

  4. Review the email.
  5. Click Save.
  6. Select the Communication tab to return.

  7. Repeat for Administrator.
