This guide explains how to load courses and refresh user enrollments in Watermark Course Evaluations & Surveys projects for online evaluations.
Loading Courses and Refreshing Users in Watermark Course Evaluations & Surveys
Loading Courses
- Navigate to the project in which you need to load courses.
- Under Courses tab:
- Click Data Import and select Brightspace.
- Select All Departments and current term (e.g. Fall 2024).
- Under Filter Options, use the following settings as needed:
- Code
- Not Contains _WP (excludes West Plains classes)
- Not Contains _GWD (excludes Greenwood Lab classes)
- Contains [CRN]
- Title
- Contains [Department Course Prefix] (e.g. ART, BIO, HST)
- Click Search.
- Select the check box next to the correct course(s).
- Scroll down and deselect the box asking about confirmation emails if you don't wish to receive email notifications.
- Click Import Data.
NOTE: CRN is the most accurate way to find your courses. Confirm selected course(s) is in the correct term before importing.
Re-Syncing Courses
If courses do not appear, the likely cause is that the courses need to be re-synced with Brightspace.
- Check the last Brightspace sync date at the top of the course search bar.
- If the date is not within the current semester, click Re-Sync Courses.
- Re-syncing courses does not immediately update results. Allow up to an hour for completion.
Refreshing Users
If courses have been added before the drop date, user enrollments will likely need to be refreshed before deploying the survey.
- Log in to Watermark Course Evaluations & Surveys and select Surveys & Projects.
- Choose Projects, then click on the project name to open it.
- Select Users tab and click Data Import.
- Choose Brightspace.
- Select a refresh date and time.
- Best practice: Schedule the refresh at least 2 hours before your project starts.
- Confirm that only students are included in the refresh.
- Click Save.
