Managing Calendars - Using the Omni CMS Calendar Module

We will soon be adopting the calendar system available through Omni CMS.

Omni CMS editors may submit events to be included within the Missouri State Calendar through Omni CMS. Others who wish to submit events for consideration, should contact their designated OMNI CMS editor or administrative assistant.

Submitting and approving events for Omni CMS editors

Creating events

  1. Log in to Omni CMS. 
  2. Navigate to the Calendar site in Omni CMS.
  3. Go to Add-Ons > Calendar > All Events. 
  4. Click +NEW EVENT.
  5. From the dropdown menu, select the calendar that will show your event.
  6. Give your event a name.
  7. Pick the date and time for the event to start and end.
  8. Select the All Day checkbox if your event will span one or multiple days.
  9. Note: administrators manage the time zone for the calendar.
  10. In the dropdown, make the appropriate selection if your event repeats. Please note: if your event repeats on the same day (M,T,W,R,F), you may just select the repeat interval. If your event repeats but on a different day, you will need to create a new event for each occurrence. 
  11. Add additional details about the event, if desired.
  12. Choose an image. Upload, or use an image or icon already developed. Provide image alt text. If you don't choose an image or icon, the public events page will display a maroon box with a white calendar icon.
  13. Select the organizer. 
  14. Add a tag for your unit (mandatory). Add a second tag that represents your event category (graduation, homecoming, etc.). Remember these tags assist those searching the calendar to find your event.
  15. Select the location. If relevant provide a web conference link. 
  16. Indicate the event cost and a link to purchase tickets, if applicable. 
  17. Indicate if an RSVP is required. You may set a maximum number of attendees. When that number is reached, the registration link will no longer be available. 
  18. Click CREATE
  19. PUBLISH the event to see it on the public events page.
     

Editing events on your calendar

You can edit an event on any calendar that you have access to.

  1. Log in to Omni CMS. 
  2. Navigate to the Calendar site in Omni. 
  3. Go to Add-Ons > Calendar > All Events and click the filename. 
  4. Change the event details.
  5. Click Save.
  6. Publish the event to see your edits on the public events page.
     

Postponing or cancelling calendar events 

If you have access to a calendar you can change the status of an event on your public events page.

  1. Log in to Omni CMS. 
  2. Navigate to the Calendar site in Omni CMS. 
  3. Go to Add-Ons > Calendar > All Events.
  4. Click the More Actions menu for the event.
  5. Click Status.
  6. Click Postpone or Cancel.
  7. The status of the event will automatically update in Omni CMS and on your public events page.
  8. To undo a cancel or postpone, click More Actions > Status > Reinstate.
     

Deleting calendar events

If you have access to a calendar, you can delete an event from Omni CMS, which will also remove it from the public events page.

  1. Log in to Omni CMS. 
  2. Navigate to the Calendar site in Omni. 
  3. Go to Add-Ons > Calendar > All Events.
  4. Click the More Actions menu for the event.
  5. Click File > Delete Event.
  6. If your event is part of a series, choose to Delete Series or Delete Occurrence. The status of the event will automatically update on your public events page.
     

Preparing and inserting photos

Size images at 500x500px. Optimize them for the web using GIMP or Adobe Photoshop CC
 

To upload a new image: 
  1. Click on the picture icon. 



     
  2. Navigate to Sites > Calendar > _Files. 
  3. Click on UPLOAD



     
  4. Click +ADD or drag files from desktop.



     
  5. Navigate to the desired image, select it and click OPEN. 



     
  6. When it is ready to upload, you will see it under Filename. Select START UPLOAD.



     
  7. Once uploaded, select your image and click INSERT.


To access existing icons and photos:

A selection of icons and photos have been developed for your use.

To access these, complete the following steps:

  1. Click on the picture icon. 



     
  2. To access icons to be used navigate to Sites > Calendar > _Files > SGFCalendarIcons (or WPCalendarIcons for the West Plains campus). The icons are divided up into categories. Once you have selected the appropriate icon, click INSERT.



     
  3. To access location images to be used navigate to Sites > Calendar > _Files > SGFLocationImages (or WPLocationImages for the West Plains campus). Select the appropriate file and click INSERT.
